Job Description

Who We’re Looking For

We’re seeking a highly organized, systems-minded individual to work directly with our CTO and leadership team. As the CTO Assistant, you'll help design and implement scalable, sustainable internal systems that improve cross-functional collaboration, streamline operations, and reduce friction across teams.

This role is perfect for someone who enjoys making complex organizations run more smoothly—someone who loves structure, clarity, and helping fast-growing teams operate at their best.

Employment Type: Part-time (3 working days per week)


🎯 What You’ll Do

  • Support the CTO and leadership team in building internal systems that scale with the company.

  • Propose improvements to organizational structure—especially around product-tech alignment.

  • Draft internal rules and decision-making protocols that promote transparency and speed.

  • Design and document Standard Operating Procedures (SOPs) for key processes:

    • Feature launch workflows

    • Incident response processes

    • Quarterly planning cadences

  • Identify and close gaps in operational rhythms (e.g., sprint rituals, OKR check-ins, roadmap reviews).

  • Build and maintain internal documentation systems to ensure knowledge sharing and reduce silos.

  • Proactively identify issues in cross-team coordination and propose actionable solutions.

  • Help structure and facilitate leadership meetings (e.g., tech lead syncs, product-tech alignment meetings).

Requirements

✅ Qualifications & Attributes

  • Demonstrated ability to think systematically and structure complex workflows into scalable, repeatable processes.
  • Highly self-motivated, organized, and capable of independently driving initiatives to completion with minimal supervision.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively across both technical and non-technical teams.
  • Comfortable operating in fast-paced, evolving environments, with a proactive and solution-oriented mindset.
  • Exhibits sound judgment, professionalism, and discretion when handling confidential information or participating in leadership-level discussions.
  • Availability to work three days per week, with a consistent schedule and commitment to key meetings or deliverables.

💡 Nice to Have

  • Previous experience as a PM, Technical Program Manager (TPM), BizOps, or Chief of Staff.
  • Familiar with tools like Notion, Confluence, Jira, and other knowledge/collaboration platforms.
  • Experience working in or supporting fast-paced startups or growth-stage companies.
  • Familiar with Agile/Scrum and experience implementing or optimizing team rituals.
  • Experience building documentation systems or knowledge management practices from scratch.
