工作內容

行政庶務

  • 處理日常文書作業、文件歸檔與管理
  • 管理辦公室用品採購與庫存
  • 接待訪客、處理電話與郵件往來
  • 辦公環境維護管理

主管行政支援

  • 協助 CEO 與 CTO 安排會議與行程
  • 處理中英文郵件往來
  • 協助聯繫國內外廠商與客戶
  • 會議記錄與後續事項追蹤

活動規劃執行

  • 規劃與執行公司活動(春酒、員工旅遊、節慶活動等)
  • 活動預算控管與廠商聯繫

財務行政

  • 協助處理報帳、發票與收據管理
  • 供應商付款流程協調

人事協助

  • 新進員工報到流程協助
  • 員工出勤紀錄維護
  • 協助招募行政作業

其他

  • 跨部門溝通協調
  • 主管交辦事項

What You’ll Do

Administrative Operations

  • Handle daily documentation, filing, and document management
  • Manage office supply procurement and inventory
  • Welcome office visitors, answer phone calls and manage email correspondence
  • Maintain office environment
Executive Support
  • Assist CEO and CTO with meeting and schedule coordination
  • Handle correspondence in both English and Chinese
  • Assist in communication with domestic and international vendors and clients
  • Meeting minutes and follow-up action item tracking
Event Planning & Execution
  • Plan and execute company events (annual banquets, team outings, holiday celebrations, etc.)
  • Manage event budgets and vendor communications
Financial Administration
  • Assist with expense reimbursements, invoice and receipt management
  • Coordinate vendor payment processes
HR Support
  • Assist with new employee onboarding processes
  • Maintain employee attendance records
  • Support recruitment administrative tasks
Other
  • Cross-departmental communication and coordination
  • Tasks assigned by management

Requirements

基本任職要求
  • 大專以上學歷
  • 1-2 年行政相關經驗
  • 英文讀寫能力良好,可撰寫基本商務 email
  • 熟悉 MS Office
  • 主動積極、學習意願強
  • 善於溝通協調,樂於與人互動
  • 細心負責、具時間管理能力
  • 願意學習並協助主管處理各類行政事務

  • 具主管秘書或會議安排經驗
  • 具活動規劃執行經驗
  • 英文聽說讀寫流利
  • 熟悉跨時區會議安排

Basic Requirements
  • Bachelor's degree or above
  • 1-2 years of administrative experience
  • Good English reading and writing skills; able to compose basic business emails
  • Proficient in MS Office
  • Proactive with strong willingness to learn
  • Excellent communication and interpersonal skills
  • Detail-oriented with strong time management abilities
  • Willing to learn and assist management with various administrative tasks
Preferred Qualifications (Not Required)
  • Experience as executive assistant or meeting coordination
  • Experience in event planning and execution
  • Fluent in English (speaking, listening, reading, writing)
  • Familiar with cross-time zone meeting arrangements

Interview process

  1. 電話初篩:與人資進行 10-20 分鐘電話面談
  2. 第一次面試:與 CEO 進行 30 分鐘線上面試
  3. 第二次面試:一小時同儕面試,了解應徵者的經驗背景與工作熱忱
  4. 第三次面試:與 CEO、CTO 及人資進行一小時最終面試
  1. Phone Screen: 10-20 mins call with HR
  2. 1st Interview Online Interview: 30mins online interview with CEO
  3. 2nd Interview: one-hour session for peer interview, where we would discuss candidate’s experience and background, what passionate about..etc. 
  4. 3rd Interview: one-hour interview with CEO, CTO and HR
