Position Summary

IDEKU is seeking a highly organised and proactive HR & Administration Officer to support the day-to-day operations of our Taiwan office. This role will provide administrative support across Human Resources and Office Administration.

The successful candidate will play an important role in supporting the HR Department with recruitment coordination, employee administration, onboarding and offboarding activities, personnel records management, and HR compliance administration, while also helping to ensure the smooth operation of the Taiwan office.

Responsibilities

Human Resources Administration

  • Maintain and update employee personnel files and HR records.
  • Assist with onboarding and offboarding administration.
  • Prepare employment-related documents, including offer letters, employment contracts, confirmation letters, and other HR correspondence.
  • Coordinate employee onboarding activities, including workstation setup, account creation, and orientation scheduling.
  • Monitor probation review dates and coordinate performance review scheduling.
  • Assist with employee leave administration and record maintenance as well as employee attendance, leave, and HR documentation records.
  • Support payroll preparation by coordinating employee information, attendance records, overtime records, and supporting documentation.
  • Coordinate recruitment activities, including job postings, interview scheduling, candidate communication, and recruitment documentation.
  • Assist with employee engagement activities, team-building events, and internal communications.
  • Coordinate work permit, visa, and immigration documentation where applicable.
  • Maintain employee headcount and organisational records.
  • Coordinate onboarding and offboarding equipment requirements.

Office Administration

  • Manage daily office operations and provide general administrative support
  • Coordinate with building management regarding office announcements, inspections, maintenance, and facility-related matters.
  • Manage office access cards, meeting room arrangements, and office facilities.
  • Coordinate office cleaning schedules and maintain office supplies.
  • Collect and manage incoming mail and courier deliveries.
  • Maintain office equipment and coordinate maintenance activities.
  • Coordinate with travel agencies and service providers to arrange flights, accommodation, transportation, and travel insurance for employees.
  • Purchase office supplies, snacks, and other operational requirements within approved budgets.

Requirements

Requirements

  • Diploma or Bachelor’s degree in Human Resources, Business Administration, or a related discipline.
  • Minimum 2 years of HR administration, office administration, or related experience.
  • Experience supporting HR operations, recruitment, onboarding, or payroll administration is preferred.
  • Basic understanding of Taiwan employment practices and HR administration.
  • Strong organisational and administrative skills.
  • Proficient in Microsoft Office, Google Workspace, and common business software.
  • Strong attention to detail and ability to maintain accurate records.
  • Ability to manage multiple tasks and priorities simultaneously.
  • Good communication and interpersonal skills.
  • Ability to work independently and maintain confidentiality.
  • English and Mandarin communication skills preferred.
