We’re now looking for a high-performance Executive Assistant to work directly with our CEO (Daniel) and Head of Brand (Candice) to help us grow even faster, more efficiently, and with less friction.

Responsibilities:

1. Executive Support & Calendar Management

• Manage and optimize professional and personal calendars, resolving conflicts and aligning with key priorities
• Coordinate meetings — ensuring all details are prepped in advance and aligned across stakeholders
• Act as a gatekeeper — handling all emails and inbound requests with discretion
• Prepare for meetings with context, agendas, and materials; follow up to ensure clear next steps
• Meet regularly with the CEO to review priorities, track progress, and keep tasks moving forward
• Support occasional personal errands, household needs, and off-site logistics as needed

2. Time & Task Ownership

• Track, prioritize, and move forward key deliverables without being asked
• Identify bottlenecks early and offer solutions before escalating issues
• Manage due dates, action items, and recurring rhythms via ClickUp and Notion
• Continuously seek ways to optimize time and focus for the founders

3. Communication & Professional Representation

• Draft and proofread clear, professional communication on behalf of the executive team
• Maintain high standards of tone, grammar, and cultural nuance in both English and Mandarin
• Represent the founders in interactions with internal and external stakeholders
• Be responsive during business hours and available outside of them when needed

4. Project Management & Coordination

• Track cross-functional projects, ensuring deadlines are met and follow-ups handled
• Coordinate planning sessions, team meetings, off-sites, and special projects
• Own logistics for travel, filming, speaking engagements, or ad-hoc tasks
• Keep tools like ClickUp and Notion up-to-date with the latest info and next steps

5. Operational Excellence & Proactive Problem-Solving

• Anticipate needs before they arise and resolve issues independently when possible
• Maintain discretion, confidentiality, and sound judgment in all matters
• Seek out inefficiencies and advocate for process improvements
• Be available for occasional weekend coverage or time-sensitive requests

• Calendars are well-organized and always up to date.
• Inboxes are clear — emails are sorted, delegated, or replied to quickly.
• Meetings are prepared, purposeful, and followed up with clear action items.
• You push projects forward without needing to be told.
• You work independently and follow through without reminders.
• You anticipate and solve problems before they reach the founders.
• You stay two steps ahead. Always thinking proactively.

Requirements:

We’re not looking for someone to just follow instructions — we’re looking for a proactive operator who can anticipate, organize, and execute at a high level. You should be calm under pressure, confident in your judgment, and committed to continuous improvement.

1. Experience & Skills

• 5+ years of experience as an Executive Assistant or in a similar high-level support role in a fast-paced, growing organization, such as a Chief of Staff, Operations Manager, or General Manager in a smaller business
• Proven ability to manage schedules, communication, and priorities in a fast-paced environment
• Exceptional organizational and time-management skills — you don’t miss details or deadlines
• Strong written and verbal communication in both English and Mandarin, with the ability to communicate clearly and respectfully on behalf of executives
• Tech-savvy and efficient with tools like Notion, ClickUp, G-Suite, Zoom, and other productivity systems

2. Traits & Work Ethic

• Highly proactive — you anticipate needs, solve problems early, and take action without being asked
• Clear thinker with strong judgment — you know when to escalate, and when to handle it yourself
• Emotionally intelligent — you communicate with tact, manage up, and build trust
• Independent, accountable, and comfortable working with minimal direction
• Willing to occasionally be available outside of standard business hours when needed
